Every report has From and To dates, Dates are (Order created or Expected delivery), a Location group if you use groups, Locations, Suppliers and categories at each level. Choose Run report; each report can go to Excel or Print.
The reports
- Budget Burn-Down: each location’s budget against what it spent, by category. Break it down By month or over the Whole range, count budgets for the Whole period or Prorated by days, and Show top-level categories only or down to the second or third level. Budgets are set on top-level categories, so lower levels show spend only. This report used to be called Budget vs. Spend.
- What We Paid Per Product: what was bought of each product: quantity, average and last price, times ordered, last ordered and spend. Tick A row per supplier to split it by supplier.
- Biggest Spend, Ranked: products ranked by spend, with each one’s share of the total and the running share.
- Spend by Period: spend by week, month or quarter, with a row for each product, category, supplier, location, person or GL account.
- Spend by Period, Unpacked: spend by period, broken down along a path you choose, such as location › category › supplier, up to four levels.
- Spend, Unpacked: the same breakdown without periods, with a subtotal at every level.
See what makes up a total
In Spend by Period and the two Unpacked reports, choose a row’s name to open What makes it up: the purchase order lines behind that figure, with date, PO, location, supplier, product, quantity, price, amount, category, GL account and who asked for it.
What counts as spend
Spend reports count spend the same way budgets do: goods on purchase orders, adjusted by approved invoices, plus freight and tax only if they are turned on in Budget Settings. Deleted orders, and deleted or replaced lines, don’t count. Some totals may be lower than they were before these rules applied.
